Chargeback for AI tools

How to split work and coding agent invoices, such as Claude, ChatGPT, Cursor and Copilot, to the cost centers and teams that used them, so the rows add up to each invoice and the month-end entries post cleanly.

AI tools arrive as a handful of invoices, one per vendor, while the budget they belong to sits with engineering teams and cost centers. Chargeback is splitting each invoice to the teams that used it, in a way that adds up exactly and that a team lead can follow.

What you need

  • Who used each tool, and how much, per person and day, from each tool's admin usage report or export.
  • Who each person is, since every tool names people differently, matched to one email.
  • Which team and cost center each person was in, on each day, from your directory or an HR export, with the day each move took effect.
  • Each tool's invoice for the month, or, until it arrives, the bill its contract implies.

Split each invoice

  1. Price each person's usage at the contract in force on each day: the seat price, the price per credit, any discount, and the usage the seats include.
  2. Add a seat for everyone who used a seat-priced tool, split by the days they spent in each team that month.
  3. Weight the invoice by those amounts: each person's share of the tool's invoice is their priced usage and seat over everyone's. For a tool nothing prices yet, weight by usage units, and failing that, by headcount.
  4. Round to the cent and put the rounding remainder on the largest line, so the rows add up to the invoice exactly.
  5. Leave unexplained amounts unassigned rather than spreading them: an invoice line nobody's usage explains is a question for the vendor.

Someone who moved from Platform to Growth on the 16th is then charged to Platform for the first half of the month and to Growth for the rest.

Approve and post it

When the month has ended and the invoices are in, finance approves the split, which freezes it so later corrections go into next month. Each cost center's total becomes a debit to a software expense account with the department set, against an accrual for the vendors' bills, and the entries import into QuickBooks or Xero.

With Veqen

On work and coding agents Team, from $10 per active person a month, Veqen builds the chargeback from each tool's usage API or export, your contracts and your teams, matches it to each tool's invoice to the cent, and exports it for QuickBooks or Xero after finance approves it. See chargeback in the docs, and finance and security for how it fits the month-end close.

Veqen watches what your work and coding agents, your product and your teams spend on AI, names who spent each dollar, and stops the spend nobody on your team made. Run a free audit or read the quickstart.
