Is Veqen an accounting system?
No. It prepares the AI-cost part of your month-end: classified costs, credit drawdown, accruals and the journal entries. Your accounting system stays the book of record, and you or your accountant approve what goes into it.
Which accounting systems does it work with?
QuickBooks Online and Xero, through their journal-entry CSV import. The account names and codes are yours: start each with its code, such as 5100 AI inference, and the Xero export uses it as the account code.
How are provider credits treated?
Prepaid credits are an asset, so usage they cover is booked against your prepaid credits account. Promotional credits cost you nothing, so usage they cover isn't booked as expense. Credits about to expire are flagged 30 and 7 days ahead.
What if a provider hasn't billed yet at month end?
Where a cost connection exists, Veqen books what the provider billed. Otherwise it accrues its own priced ledger and reverses the accrual on the 1st. A month can't be approved until every connected provider has synced past its last day.
Can the numbers change after we approve?
Approved entries are frozen. Reopening a month rebuilds them from current data, and approvals and reopenings are recorded in the audit log.
Does Veqen see our prompts or customer data?
No. It records the model, token counts, the price and the tags your engineers attach, such as a customer id. Never prompts or responses.
