Agreements, renewals and commitments

Record AI vendor agreements with their notice dates, commitments, volume tiers and overage, see how spending is pacing, and get reminded before each notice date.

Vendors › Agreements keeps every AI vendor agreement in one place: when it renews, when you have to give notice, and how your spending is pacing against what you committed.

What to record

Only the vendor and the start and end dates are needed. Add the rest when you have the contract to hand:

Field What it's for
Notice Days of notice before the end date. Reminders count down to it
Renews automatically When the term ends, the agreement rolls into its next term, the same length, and reminders start again
What it covers Providers and tools whose spend counts toward the commitment; the vendor when none are picked. A Microsoft agreement can cover Azure AI Foundry, for example
Commitment What you promised to spend, per term, year or month, whether you use it or not
Volume tiers A discount off list from a level of spending in the period, ascending
Overage The premium on the agreed rate once you're past the commitment

Tick Also price new spending at the tier's discount to make the tier you're in the vendor's provider-wide discount in Your prices. Veqen leaves Your prices alone when you price that vendor's models one by one.

Pacing

For a commitment, Veqen adds up what you spent in the current period (each covered provider's bill, and each covered tool's invoice, or what its contract implies before the invoice is entered), then carries the last 28 days' daily average to the period's end:

  • Spent so far and where this pace ends.
  • Shortfall: committed but not on track to be used.
  • Overage: past the commitment, with its premium.
  • Tiers: the one you're in, and how far the next one is.

States and reminders

When State
Notice due within 30 days ▲ Needs action
Pacing 10% or more short of the commitment (after four weeks, or half a month) ▲ Needs action
Pacing 3–10% short, notice within 90 days, past the commitment at a premium, or within reach of the next tier ◐ Worth a look

Owners, admins and finance members get an email (and Slack or your webhook on plans that have them) 90, 60, 30 and 14 days before the notice date, once each, and a warning once per commitment period when it's pacing 10% short, or past it at a premium, with 90 days or less to go. A pace is judged after four weeks of spending in the period, or half the period for a monthly commitment. Notice dates due within 30 days also appear on Home and in the weekly digest.
